LEGAL / REFUNDS AND CANCELLATION

Refund and
cancellation

Version 1.0Effective 31 August 2026Updated 31 August 2026

The short version

The Rs. 100 team registration fee is non-refundable once paid. If the organising committee cancels the hackathon outright, every registered team is refunded in full, automatically, without needing to ask.

1. What the fee covers

The fee is charged once per team and covers every member. It pays towards running the screening round and the onsite finale. It is charged a single time, does not recur, and is not conditional on your team being shortlisted.

2. When a refund is not given

The fee is not refunded where:

  • a team withdraws after registering, whether before or after the deadline of 20 September 2026, 11:59 PM IST;
  • a team is not shortlisted for the onsite finale;
  • a team does not submit its Round 1 deck, or submits it late;
  • a team or any of its members does not attend the orientation or either onsite day;
  • a team is disqualified for breaching the rulebook or the code of conduct;
  • a team registered with details that turn out to be inaccurate or ineligible.

Being shortlisted is decided on merit against a published rubric. Not being selected is a normal outcome of the competition, not a failure to deliver the service you paid for, so it does not create a refund entitlement.

3. When a refund is given

You will be refunded in full where:

  • we cancel the event. If the hackathon is called off entirely, every registered team is refunded the full Rs. 100 to the account it was paid from. You do not need to request this.
  • you were charged more than once for the same team. Duplicate charges are returned in full on request, and we would rather you tell us than absorb it.
  • money left your account but no registration was created. If a payment was taken and you did not receive an SDGAI26- reference ID, contact us with the UPI transaction reference and we will verify and return it.

Postponing or moving the event, or changing its format between online and onsite, is not a cancellation. If a change of date or venue means your team can no longer take part, contact us and we will consider the request on its facts, though we cannot promise a refund.

4. How to request a refund

Email brdevhare@bvucoep.edu.infrom the team leader's registered email address, with your SDGAI26- reference ID, the UPI transaction reference, and what happened. If you do not have a reference ID, send the transaction reference and the date and amount of the transfer.

We acknowledge refund requests within 3 working days. Approved refunds are transferred within 7 working daysof approval, by UPI, to the account the fee was paid from — we cannot pay a refund to a different account or UPI ID. Your bank may take a further day or two to credit it, which is outside our control.

5. Failed and pending payments

If a payment fails, no application is created and no fee is due. Banks sometimes hold an amount temporarily on a failed or abandoned attempt; that hold is released by your bank, usually within 5 to 7 working days, without any action from us. If an amount that left your account has not reappeared after 7 working days, contact us with the transaction reference and we will trace it against the receiving account.
